Migrating Students up a Grade

1) Using Workgroup Manager, change the names of the Groups

a) Select the Groups view (icon with three heads)

b) Sort by name

c) Double-Click Grade6 (or your highest grade group), change the name to Grade7 (or the next highest grade that doesn't exist ... it's just temporary), then work your way down to GradeK->Grade1

d) Double-Click Grade7 (or whatever you called it), change name to GradeK

e) With the new GradeK selected so you can see the Members, open a new Workgroup Manager Window and select the Users view (icon with single head). Click the users that belong to the group of student leaving the building and press Delete. You can do them one at a time, or you can apple-click (command-click) to do multiples. Do this for any departing Staff folder and students from other grades who will not be returning in the fall. CAUTION: if you select users in the open Group window and delete them, it will only remove them from that Group - not from the system.

2) Using the Finder, change the names of the Folders

a) Open the Shared Items folder on the Server Hard Drive

b) Select each folder and rename it just like you did with the Groups

3) Using the Finder, archive the old folders

a) Open the new GradeK folder and drag all the old user folders to the "Old Folders" folder to be archived. Do this for any departing Staff folder and students from other grades who will not be returning in the fall.

4) Using Workgroup Manager, create new Users

a) Click the New User button and and enter the required information. You may want to look at other existing users as examples.

5) Using the Finder, create new Folders

a) Open whatever Grade folder in which you need to create new user folders and select File->NewFolder and name them appropriately. You may want to look at other existing user folders as examples.

6) Using Workgroup Manager, set the folder permissions

a) Select the Sharing icon and navigate to the new folders

b) For each new User Folder, click the Access tab and set the proper Owner and Group. You may want to look at other existing user folder permissions as examples.
